Bookings
Bookings can be made at the facility reception in person, over the phone or our online booking system. Bookings are not confirmed until payments are received in full and you have returned a signed birthday contract or agreed to the terms and conditions.
Please make the facility aware of any special requirements of your group (for example, if any child has a disability and will need extra help, or modified activities).
Ākau Tangi Sports Centre court number allocation is subject to change, depending on operational requirements.
Wellington City Council reserves the right to decline any application.
Payments
Full payment is required at the time of booking.
Prices and packages include GST (15%).
The hirer acknowledges Wellington City Council may review and increase fees through review of the Annual Plan or Long-Term Plan, however the hirer will be given no less than 60 days written notice of any changes to conditions or fees.
Where payment is not made, the Customer agrees to pay the Council all costs and expenses (including debt collection fees or legal fees), incurred by the Council in seeking to recover the overdue amount.
Cancellation
Booking alterations or cancellations must be sent to the booking coordinator in writing within 14 days of the booking date or full amount will be charged. A fee may be charged for any amendments to a booking.
No refund is available if you cancel within 14 days prior to your birthday party booking.
Any cancellation giving 14 days or more notice is subject to a $50 administration fee deducted from the refund of the total cost of your birthday party.
The recreation facility may cancel the booking if it considers that the management or control of the booking is deficient or inadequate and/or the behaviour of those attending could lead to danger or injury to any person or material damage to any property, including the recreation facility.
Wellington City Council reserves the right to cancel any bookings if the facility is required for maintenance, civic or national nature - if this happens all fees will be refunded.
To ensure the safety of participants the Birthday tutor has the right to cancel the party on the day if participants exceed the booked number of attendees. The staff member on duty at the time of the booking has the final decision making authority with regards to any health and safety matter concerning the booking.
Responsibility
All doors must be kept clear in case of an emergency.
The organising parents must stay in the facility for the duration of the party. While Birthday tutors will facilitate activities, parents / guardians remain responsible for their group at all times.
Parties can be organised to run for varying numbers of children. When informing us of the number of children who will be participating, you must include all children who will be taking part, including siblings. This must be confirmed at least fourteen days prior to the party.
Additional fees may be charged for extra children.
The hirer is responsible for the cost of repair or replacement of equipment or facilities, if damage is caused by the hirer’s misuse.
The hirer must leave the facility in a clean condition – this includes wiping down tables, furnishings sweeping or vacuuming the community room/birthday area and removing all rubbish.
Tables, chairs and other items must be returned to the appropriate place.
No food is to be taken into the gymnasium/sports hall. All food to be prepared and consumed in community rooms/dedicated birthday party rooms.
Wellington Regional Aquatic Centre (WRAC) only: No outside food allowed other than children birthday cake. All catering is provided by the Aquatic Café at WRAC.
No alcohol is to be consumed or brought onto the premises.
No glass bottles, glass cups or ceramic plates allowed in the pool area, gymnasium/sports hall.
Clean up and preparation time must be included in your booking times. Please help us vacate your birthday booking on time.
The hirer must bring all utensils, cutlery, tea towels, candles and lighter.
Clothing
Sports clothing is recommended for recreation centres’ parties and shoes must be non-marking.
Privacy Act 2020
You acknowledge that the Council is collecting the information in this booking for the purposes of credit approval, establishing credit limits and administering your account. This may require information to be provided to other business units within the Council, the Council’s solicitors, external debt collection agencies, credit reporting and other agencies required from time to time to be involved in the administration of your account or enforcement of this agreement. You authorise any person or company to provide the Council with such information required to administer and enforce this agreement.
